REALTY1OS LLC (“RealtyOneOS,” “we,” “us,” or “our”) operates the RealtyOneOS platform, a multi-tenant SaaS application for real estate brokerages. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform, website (realtyoneos.com), and related services.

2. Information We Collect

2.1 Information You Provide

  • Account information: name, email address, phone number, role, brokerage affiliation
  • Transaction data: property addresses, contract dates, client information, document uploads
  • Commission data: split rules, payment records, CDA/invoice information
  • Communications: messages, comments, @mentions within the platform
  • Landing page content: bio, headshot, testimonials, specialties
  • Contact form submissions: visitor name, email, phone, and message content

2.2 Information Collected Automatically

  • Device and browser information, IP address, operating system
  • Usage data: pages visited, features used, timestamps
  • Cookies and similar tracking technologies (see our Cookie Policy below)

2.3 Information from Third Parties

  • MLS listing data from NTREIS and other MLS providers (property details, listing agent info)
  • E-signature completion data from our integrated signing service

3. How We Use Your Information

  • Provide, operate, and maintain the RealtyOneOS platform
  • Process transactions, compliance workflows, and commission calculations
  • Send transactional notifications via email, SMS, and in-app channels
  • Deliver AI-powered features: document classification, risk scoring, coaching insights
  • Display agent/broker landing pages and process contact form inquiries
  • Sync MLS listing data for property display and search
  • Generate audit logs for compliance and regulatory purposes
  • Improve our services, analyze usage patterns, and develop new features
  • Respond to your inquiries and provide customer support
  • Comply with legal obligations and enforce our terms

4. SMS/Text Messaging

RealtyOneOS may send SMS/text notifications for urgent platform alerts including overdue compliance items, payment received confirmations, and critical deadline warnings. By providing your phone number and enabling SMS notifications in your account settings, you consent to receive these transactional text messages.

  • Opt-in: SMS notifications are opt-in only. You must explicitly enable SMS in Settings → Notifications.
  • Opt-out: You can disable SMS at any time in your notification preferences, or reply STOP to any message.
  • Frequency: Message frequency varies based on platform activity. SMS is reserved for HIGH and CRITICAL urgency alerts only.
  • Charges: Standard message and data rates may apply depending on your mobile carrier.
  • No sharing: We do not sell, rent, or share your phone number with third parties for marketing purposes.

5. Data Sharing and Disclosure

We do not sell your personal information. We may share data with:

  • Your brokerage: Data is shared within your brokerage tenant as required by your role and permissions
  • Service providers: AWS (hosting, email, SMS), Documenso (e-signatures) — under data processing agreements
  • MLS organizations: As required by MLS data sharing rules and IDX compliance
  • Legal requirements: When required by law, court order, or government request
  • Business transfers: In connection with a merger, acquisition, or sale of assets

6. Data Security

We implement industry-standard security measures including AES-256 encryption at rest, TLS 1.2+ encryption in transit, row-level security for tenant data isolation, and immutable audit logging. Our infrastructure runs on AWS with SOC 2-ready controls. All document state changes produce auditable records.

7. Data Retention

We retain your data for as long as your account is active or as needed to provide services. Transaction records and audit logs are retained for 7 years to comply with real estate regulatory requirements. You may request deletion of your account data by contacting support@realtyoneos.com.

8. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access, correct, or delete your personal information
  • Object to or restrict processing of your data
  • Data portability — receive your data in a structured format
  • Withdraw consent at any time (for consent-based processing)
  • Opt out of SMS notifications at any time
